Position Summary

We are looking for an organized IT Project Coordinator to join our Chicago team. In this multifaceted role you will perform basic analyst, project management, and administrative duties to help the Director of IT plan, track, and report on IT projects and capital expenditures. 

Essential duties and responsibilities

Analyst Duties:

  • Help IT team to analyze ROI calculations to build a business case for projects and IT spend rate
  • Research vendors and create pros and cons lists to prepare reports to recommend solutions
  • Help manage and plan for software license and contract renewals
  • Use ERP system to review license and equipment usage to allocate costs by business unit.
  • Maintain IT equipment inventory (i.e., track use and distribution of phone and computer hardware)

Support Duties:

Backup Service Desk Team

  • Conduct new hire software and equipment set-up
  • Closeout tasks and archive email history for terminated employees

Backup Systems Team

  • Assist with servers, networks telecom links and assign user rights to network files and folders
  • Help maintain records and documentation for department computer systems

Project Management Duties:

Lead, administer and maintain firm-wide business continuity (BC) /disaster recovery (DR) processes

  • Keep RPX business continuity software and data entry up-to-date
  • Partner with business units, leaders and staff to maintain key business information
  • Assist the IT Director with planning and execution of periodic BC/DR exercises
  • Maintain schedule of milestone activities for IT projects and initiatives, identify and report obstacles to team and IT leadership to notify or remediate issues to keep IT projects on track

Administrative/Other Duties: 

  • Prepare equipment purchase orders; route PO, invoice, and ship receipts for approval
  • Conduct research to help team present new initiatives
  • Upkeep documentation on applications and internal processes
  • Engage in professional development activities to stay current in IT, design and construction industry practices (e.g., educational activities, publications, and maintain personal networks)
  • Actively participate in the IT / professional community to build personal knowledge and professional growth (ex. attend meetings/seminars/conferences)

Qualifications / Skill-sets

Possess basic knowledge and understanding of the following:

  • Functions and operations of computers
  • Server and networking concepts, architectures and solutions
  • Storage, backup and archiving concepts, architectures and solutions
  • Commercial computer software including database software and local and wide area networks (LANs & WANs), including hardware/software installation
  • General principles of office automation, and computer systems analysis
  • Exhibit strong communication skills to interact and convey tasks to co-workers, leaders, and vendors
  • Use sound judgment to identify strengths and weaknesses of proposed solutions to fix problems/situations
  • Manage multiple priorities and adapt to changes in a reliable, responsible, and timely fashion
  • Proficiency with Microsoft Word, Outlook and Excel required, and Microsoft Project preferred
  • Familiarity with Newforma project management software, AutoCAD, and Autodesk Revit a plus

Education / Certification / Experience

  • Associate or bachelor’s degree in Information Technology related major (preferred) or 2 years of relevant technical work experience (minimum)
  • Formal Project Management training Project Management Professional (PMP) Certification desirable
  • 3-5 years’ work experience in an IT environment
